USER GROUPS

1.       Navigate to User Groups records; My Daily Work à System Setup à System Data à User Groups.

2.       To add a new record, click New, to change click Edit.

3.       To configure a User Group record, specify the following data:

o   Enter User Group basic information.

o   Group Rights: Specify rights & accessibility for users belonging to this group via checkboxes at the demonstrated hierarchical tree.

o   Copy Group: Utilize this link, in case of creating another user group similar in rights & accessibility. Thus, whenever it is applied, system administrator will be able to edit the new user group rights, so as not to start from scratch, to maintain accuracy & save time.

Tips

§  Both ‘MS Office Integration’ and ‘OLAP’ are listed to be enabled or disabled among various hierarchy system components. Moreover, “My HR” is listed for specifying granted rights relevant to “Self Service and Workflow” module, if implemented.

§  Therefore, enabling (displaying) or disabling (hiding) is provided per item in each tab, per each form. Note that, all Modules’ Tabs will be previewed at the system interface, yet they will not be accessible in case any of the modules was unchecked. Hence unchecked items will be inaccessible and blocked for users belonging to this user group.

§  For a user to apply any changes applied at the ‘Group Rights’ configuration, a user needs to log off; and then log in again, so that the system can apply the new group rights criteria.

§  A system administrator can deactivate any of the built-in Mass Actions, for each user group; as per granted rights and business requirements. If the administrator user unchecked any parent list header like “HR Processing”, then it will not be available. On the other hand, to deactivate any of the mass actions provided at any of the mass actions’ list headers, just uncheck its option at the user group rights, and it will be dimmed at the system interface for users belonging to this user group.

§  If the “Profile” module was available for users belonging to a certain user group, then all ‘Action Bar’ links will be available and accessible for these users, except for ‘Change Log’ link. Note that, if these users were not granted rights to preview ‘Assignment Data’ or ‘Finance and Insurance Data’ partitions, then the system will automatically close the ‘Change Log’ link in the “Profile” module. Hence the system will automatically disable ‘Change Log’, if the dashboard partitions were hidden in the “Profile” module as per setup.
